Feet First Podiatry is committed to ensuring the privacy and security of your personal data.

​This Privacy Policy describes how and when I collect, use, and share information when you attend an appointment at my clinic, purchase a product from me, contact me, or otherwise use my services.  This is to comply with the General Data Protection Regulations (GDPR) 2018.

1. Who we are:

For purposes of the GDPR, I, Romy Deans (trading as Feet First Podiatry), am the data controller of your personal information.​

2. Information we collect:

To aid your treatment or as part of purchasing something from my business you must provide us with certain information, as highlighted below.  We will store you information on an electronic patient record and diary system which is fully password protected (see section 3).

The information you may provide us with includes:

  • Name
  • Address
  • Date of Birth
  • Telephone Number
  • Email Address
  • Medical History
  • Photographs
  • Videos
  • Family History
  • Next of kin/emergency contact
  • GP Details
  • Payment information


Where you have selected to purchase our services on credit, we will also hold information such as payment history, default details and credit history. If at any time you default from payment we may require to contact a third party which maybe a legal department or a member of your family to help us discuss or recover your non-payment.

Sensitive personal data:
It would benefit you to notify us of any health condition, disability, treatment history and/or personal information relating to your private your private life that may have an impact on the service we offer. This will allow us to take reasonable steps to accommodate your needs or requirements and to ensure safe treatment.

We will require your explicit consent to process this information, unless the processing of this data is deemed to be in your 'vital interest'. This information will be used by us to assist you and will be kept as long as it is required for this purpose.

We may collect your information when:

  • You call the clinic
  • You email the clinic
  • You contact the clinic through social media or text messaging
  • Authorised third parties contact the clinic



Why We Need Your Information and How We Use It

We rely on a number of legal bases to collect, use, and share your information, including:

  • where it is necessary for the purposes of the provision of health care as needed to provide our services, such as when the use of your information to fulfil your podiatry assessment and treatment, or to provide customer support.
  • when you have provided your affirmative consent, which you may revoke at any time.
  • if necessary to comply with a legal obligation or court order or in connection with a legal claim, such as retaining information about your purchases if required by tax law.

    The processing of your data is necessary for the performance of the contract you entered with us.

3. How we store your personal data:

All customer data is stored on cloud based Cliniko, which is our password protected clinical management software. We regularly audit the data we hold and destroy securely according to our retention schedule (see section 6).

Any photographs or videos are held within the password protected device and are held securely in line with their terms.

4. Information sharing and disclosure:

Information about patients/customers is important to our business. We may share your personal information for very limited reasons and in limited circumstances, as follows:

  • Medical professionals.  With your consent we will share information with medical professionals such as your GP or consultant to allow continuity of care.
  • Service providers. We engage certain trusted third parties to perform functions and provide services to my business, such as external reception services. We will share your personal information with these third parties, but only to the extent necessary to perform these services.
  • Business transfers. If we sell or merge the business, we may disclose your information as part of that transaction, only to the extent permitted by law and with your knowledge.
  • Compliance with laws. We may collect, use, retain, and share your information if legally required to.

​5. Retaining Your Data

Feet First will retain your personal information only for as long as necessary to provide you with our services and as described in this Privacy Policy. However, we may also be required to retain this information to comply with legal and regulatory obligations, to resolve disputes, and to enforce our agreements.​

The retention of podiatry records is normally a minimum of 8 years, after the last appointment.  For customers who are not patients but may have bought products from my business we will keep any data you may have provided for a minimum of 6 years in line with tax legislation.

6. Marketing:

Where we have asked you for permission to keep you up to date with our services and you have agreed, we will contact you at reasonable intervals. You have the right to withdraw consent at any point and can do so by emailing: romy@feetfirstpodiatryek.co.uk


We will never pass your data onto a third party for marketing purposes.

7. Your Rights:

Under data protection legislation you have rights regarding the use of your personal data as follows:

  • Access. You have the right to access and receive a copy of the personal information held about you by contacting us using the contact information below.
  • Change, restrict, delete. You may also have rights to change, restrict our use of, or delete your personal information. In the case of health records these are normally exempt from change and deletion requests.
  • Object. You can object to (i) the processing of some of your information based on our legitimate interests and (ii) receiving marketing messages from us after providing your express consent to receive them. In such cases, we will delete your personal information unless we have compelling and legitimate grounds to continue using that information or if it is needed for legal reasons.
  • Complaints: If you wish to raise a complaint about how we handle your personal data, including in relation to any of the rights outlined above, you can contact us at romy@feetfirstpodiatryek.co.uk or write to us at Feet First, 37 Glenburn Road, College Milton, East Kilbride, G74 5BA and we will investigate your concerns.

If you are not satisfied with our response or believe we are processing your data unfairly or unlawfully, you can complain to the Information Commissioner's Office (ICO). 

You can find further information about the ICO and their complaints procedure here: https://ico.org.uk/conerns. This policy is monitored and update on a regular basis and it's fully compliant under General Data Protection regulations 2018.
